Procurement Administrator

Contract Type: 6-month fixed-term contract
Location: TEKANO Offices, Cape Town
Closing Date: 12 June 2026

TEKANO is seeking a detail-oriented and organised Procurement Administrator to provide fixed-term procurement administration support within the Finance and Operations function.

Reporting to the Procurement and Operations Manager, this role will support accurate procurement processing, supplier documentation, contract tracking, record management and compliance administration. The appointment is for a 6-month fixed-term period to provide temporary capacity while TEKANO completes its organisational skills audit and assesses longer-term procurement and operational support requirements under the new strategy.

The successful candidate will contribute to efficient, compliant, and well-documented procurement processes that support TEKANO’s work in advancing health equity in South Africa.

Key Responsibilities:
  • Procurement Administration: Process purchase requisitions and purchase orders, review procurement documents for accuracy and completeness, and ensure procurement requests are properly authorised before processing.
  • Supplier Documentation: Maintain accurate supplier records, follow up on outstanding supplier documents, and support supplier onboarding in line with TEKANO’s procurement procedures.
  • Quotation and Tender Support: Assist with obtaining quotations, preparing quotation comparison schedules, and supporting RFQ, RFP and tender administration.
  • Contract and Record Management: Maintain procurement files, supplier records, contract registers and audit-ready documentation, including tracking contract expiry dates and outstanding orders.
  • Reporting and Coordination: Support procurement tracking, spend summaries, supplier communication, procurement committee administration and internal stakeholder updates.
  • Compliance Support: Ensure procurement documentation is complete, properly stored and aligned with internal policies, audit requirements and applicable donor or governance expectations.
Qualifications & Experience:
  • Education: Certificate, Diploma or NQF Level 5/6 qualification in Procurement, Supply Chain Management, Logistics, Business Administration, Finance Administration or a related field. CIPS qualification or studies towards CIPS will be advantageous.
  • Experience: 2 to 3 years’ relevant experience in procurement administration, supply chain support, supplier administration, finance administration or contract administration.
  • Environment: Experience in an NGO, donor-funded, public sector, compliance-driven or corporate environment will be advantageous.
  • Systems: Experience working with procurement systems, supplier databases, records management systems or large datasets will be advantageous.
Skills & Knowledge:
  • Strong administrative, organisational and record-keeping skills.
  • Good understanding of procurement administration and purchasing procedures.
  • High attention to detail and ability to maintain audit-ready documentation.
  • Good supplier follow-up and stakeholder communication skills.
  • Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
  • Ability to work under pressure, meet deadlines, and maintain confidentiality.
  • Understanding of supplier documentation, contract administration, procurement compliance and governance principles.

Governance Lead

TEKANO is seeking a highly skilled and detail-oriented Governance Lead to join our dynamic team in Cape Town. Reporting directly to the CEO, this key role will oversee corporate governance processes, Board and Committee management, stakeholder engagement, and compliance functions within TEKANO. The successful candidate will ensure that TEKANO operates with the highest standards of governance, transparency, and efficiency, contributing directly to the organisation’s mission of advancing health equity in South Africa.
